Scope of Work

Condition Survey

General observation report investigating the building’s current condition, examining the internal and external common areas:

  • General condition of the plaster, reporting on surface cracks.
  • General condition of the exterior coatings.
  • Reporting on surfaces that may require maintenance.
  • Investigating surfaces for possible water ingress.
  • Examining exterior windows and frames for correct sealants.
  • Examination and reporting on the integrity of the roofs.
  • Any damaged waterproofing systems in place will be checked and reported on.
  • Reporting on any potential hazards that need to be addressed.
  • Reports on items that require annual services such as fire hydrants, lifts, etc.
  • Assessment of the condition of all general warning signs such as fire escapes and hazardous areas.

Maintenance and Replacement Plan

The maintenance plan sets out the current condition or state of repair of each capital item; when each item, or component of those items, will have to be maintained, repaired or replaced; what this will cost; and the expected life-span of those items, or components, once they have been maintained, repaired or replaced with a 10-year forecast, providing an accurate budgeting platform for the reserve fund.

The maintenance plan will include, but not limited to, the following:

  • Electrical systems
  • Plumbing and drainage
  • Heating and cooling systems
  • Lifts and escalators
  • Carpeting and furnishings
  • Roofing
  • Painting and waterproofing
  • Communication systems
  • Paving and parking areas
  • Security systems
  • Recreational facilities

The annual contribution to the reserve fund for the maintenance, repair or replacement of each of the major capital items must be determined according to the following formula: [(estimated cost minus past contribution) divided by expected life].

A maintenance, repair and replacement plan takes effect on its approval by the members in general meeting; provided that on approval of such a plan, members may lay down conditions for the payment of money from the reserve fund.

The trustees must report the extent to which the approved maintenance, repair and replacement plan has been implemented to each annual general meeting.
